South Fulton × Samsara

Onsite playbook

Owners, decisions, and dates

This playbook turns each topic into owners, decisions, and dates. By the end of the onsite, every workstream should have an owner, every key decision should be made or scheduled, and the rollout should have dates.

Before the onsite: South Fulton checklist

Everything we need from South Fulton by Wednesday 10/15, pulled from the sections below. Items marked decision can also be made together onsite, but it helps to arrive with a starting view.

✓What we needOwner
Confirm who will attend for each role (executive sponsor, IT, General Services, fleet & maintenance, PD and safety leads) and the onsite location.
Name a South Fulton owner and target date for each workstream, A through G (Section 1).
DVIRs: confirm drivers have a phone or tablet, and name who resolves defects. Decision: pilot department and timing (we recommend PD first).
Fleetio: review the current integration and send examples of mileage conflicts via email.
Fuel: define the end goal for the integration. Decision: pick one or two priorities (theft or misuse, fuel economy, card-to-vehicle matching, budget by department).
Driver assignment: decision on a method for each department (we recommend Driver App for PD, Camera ID for others).
Pool management: list pool vehicles and who may use them. Decision: Camera ID only, or add Launch Mobility.
AI Multicamera: bring candidate vehicle types and the situations you most want to see. Decision: trial size (we recommend 2–3 vehicles).
Safety workflows: come prepared to walk through your current workflows — how events are reviewed, who is notified, how video is shared, and how coaching or follow-up happen.

E. Pool management Clear use of shared vehicles
F. AI Multicamera Trial 360° coverage on large vehicles
G. Safety workflows & coaching Review of streamlined safety workflows and coaching

2. Value review

No action needed. Executive presence is recommended. We'll review what your team has already seen: fewer reported crashes, driver exonerations and accountability for repeat offenders, and proactive maintenance from fault code monitoring.

3. Workstreams

Actions, owners, due dates, and decisions for each stream.

A. DVIRs

Goal: Replace paper inspections with DVIRs in the Driver App. Why it matters: Digitizing inspections eliminates paper workflows, provides instant defect reporting, and gives real-time visibility into fleet health.

B. Fleetio integration

Goal: Resolve any mismatches. Why it matters: Maintenance schedules run off one trusted number.

C. Fuel cards (WEX and FuelMaster)

Goal: Connect fuel card data to vehicles. Why it matters: Track usage, spot misuse, and get cautionary reports.

WEX: standard Marketplace integration, completed with WEX partners (can start onsite). FuelMaster: custom integration, so we'll scope the steps onsite.
